Work Hours/Shift: Monday – Friday 8am – 4:30pm
You Will Be Responsible For:
Supervises other clerical staff and ensures effective clerical and departmental operations including but not limited to ordering of office supplies, maintenance of equipment (repair and preventative). Participates in the interviewing, hiring, and orientation process for clerical staff. Ensures staffing levels are appropriate to ensure accurate and timely work completion. Stays within labor tracking guidelines.
Communicates with customers professionally. Answers telephone within three rings in a polite courteous manner and allows the caller to present themselves before placing a call on hold. Responds back to messages on the answering machine in a timely manner. Maintains good relationships with physicians, management, other departments, and staff.
Evaluates and follows up on customer complaints and takes appropriate action to ensure a positive outcome. Involves Leadership as needed to resolve conflicts.
Runs reports as needed from Surgery Information System to assist in maintenance of department statistics and executes special projects as assigned by Director and Managers.
Oversees the scheduling activities on the unit. Assists scheduling staff with scheduling questions and conflicts. Communicates issues with Leadership team. Acts as a resource for other staff performing scheduling functions. Ensures complete and timely data entry for patient charges.
Able to access other Advent Health computer programs to access patient information. Maintains confidentiality of patient information at all times. Maintains patient records and charts as required.
Coordinates and implements functions related to staffing including payroll and scheduling. Works with Surgery Management team to ensure appropriate staffing coverage for all shifts. Maintains position control records for department. Assists in maintenance of employee files.
Performs other duties as requested to ensure efficient operation of Surgical Services. May include covering the duties of other secretarial roles within the department.
KNOWLEDGE AND SKILLS REQUIRED:
Ability to communicate by reading, writing legibly, speaking and comprehending English effectively in order to carry out job requirements.
Must be proficient in Microsoft Word and Excel.
Must be able to type at least 25 wpm.
Excellent communication and interpersonal skills.
Knowledge of Medical Terminology
KNOWLEDGE AND SKILLS PREFERRED:
Knowledge of Powerpoint, Surgery Computer Systems and other graphics and database programs desirable.
EDUCATION AND EXPERIENCE REQUIRED:
One year professional secretarial, physician office or hospital experience required.
EDUCATION AND EXPERIENCE PREFERRED:
· High School Diploma or G.E.D. certification.
