Office Coordinator Facilities FT Days Position Summary
Working lead, coordinates functions and activities related to a single departmental function and may provide limited supervision and/or shift supervision related to office and clerical functions. Coordinates the plant operation departmentâ��s daily function ensuring all customer needs are met.
Primary responsibilities include data input of work orders, organization of department filing, answering phones and word processing. Accepts, records and transmits information through the use of clerical skills and business technology. Maintains a variety of administrative files. Observes safety guidelines and safe work practices. Applies concepts of customer relations and advocacy.
Coordinates activities of the Facility Services Departments.
Maintaining Hospital Safety documentation and ensure all Safety documents are current throughout the hospital.
Oversees the preventive maintenance programs.
Assists with data requests for annual business plan and other projects, which can include keeping up with JCAHO standards, hospital purchase order requests, training programs, inservices, etc
Coordinates the Environment of Care committee based on JCAHO requirements.
Works collaboratively with all levels of staff to ensure completion of projects to fulfill goals and objectives of the department and the hospital.
Types all correspondence as requested. Types envelope labels and mails all correspondence as requested, including mailing items certified and keeping a log of such items.
Coordinates and maintains calendar for management and director as requested and obtains meeting room reservations for internal and external customers as required.
Acts as a liaison between Security, Biomed, and Engineering to all hospital staff.
Distributes faxes, mail, voice mails, emails and correspondence.
Oversees the inventory and ordering of office supplies/products for the department.
Set up and maintain department files.
Maintains corporate and hospital electronic spreadsheet and databases as requested.
Ensures that all resource documents and manuals are maintained in date order and all reference material is current and filed accordingly.

THE OFFICE COORDINATION FACILITIES FT DAYS CANDIDATE WILL POSSESS THE FOLLOWING EDUCATION, LICENSE/CERTIFICATIONS, AND EXPERIENCE.
MINIMUM EDUCATION: High School graduate with emphasis on business, including typing, grammar and business communication.
MINIMUM EXPERIENCE: Five years administrative experience.
PREFERRED EXPERIENCE: Healthcare experience and one year supervisory experience preferred.
SPECIAL SKILLS: Proficient in: Microsoft Word, Excel, PowerPoint, and Outlook. Handles office equipment materials. Requires close concentration with occasional periods of above average pressure.
