Under the direction of a HIMS Team Lead or Supervisor, this position serves on a service team in one of the following HIMS sections: Chart Completion, Front Desk/Customer Support, Master Patient Index (MPI) and Release of Information (ROI). As a senior clerical employee, provides health information management services to HIMS customers by combining HIMS operational expertise, computer skills, and customer service, and communication skills. Rotates between various HIMS Team positions in conformance with the Department's Rotation Policy.
Essential Functions
- As requested, trains new employees on procedures and policies. Retrains staff as appropriate.
- Completes required individual production and statistical reports on work completed.
- Identifies and appropriately responds to customer needs and keeps customer informed of service progress. Handles telephone information requests with courtesy, accuracy, and respect.
- In compliance with Department policies, notifies supervisor of planned and unplanned absences. Maintains time and attendance patterns within department standards.
- Maintains assigned IT equipment. Quickly completes IT problem report and escalates problems to Team Lead.
- Maintains work area in a neat and orderly fashion. Leaves work area picked-up before leaving for breaks, lunch, and the end of the day.
- Participates in HIMS disaster Team and Disaster Drills as requested by the disaster coordinator.
- Performs image scanning duties. Receives or picks-up documentation for image scanning, sorts loose sheets, prepares documents for scanning. Indexes document to Medical Records and Account numbers. Prepares and boxes completed documents for warehousing. Performs scanner maintenance as required. Resolves issues with problem documents.
- Provides transcription support : Importing , Dictation management, Distribution. Imports transcribed documents. Uploads documents to the CIS. Prints transcribed documents. Performs minor document corrections. Updates CDMS. Prepares letters and envelops. Distributes documents throughout the hospital and clinics.
- Retrieves records as requested. Identifies last chart location. Retrieves in file room. Prints documents for appropriate account numbers in Document Imaging System. Requests charts from off-site (Deliverex). Requests charts back from other locations (Clinics, LPCH, etc.). Delivers (sends) charts to clinic. Ensures charts returned at day's end.
- Uses office equipment according to operating procedures and does preventive maintenance as scheduled/requested.
Minimum Qualifications
Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.
