State locations and specifics are subject to change as our hiring requirements shift.About the opportunity:Reporting directly to the President and CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President and CEO.The Executive Assistant must be a critical thinker who is agile within a fast-paced environment which is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, technical and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. What you will do:Provide confidential administrative support to the President/CEO and Board members.Plans, coordinates, and ensures the CEO's schedule is followed and respected including arranging complex and detailed meeting plans, itineraries, and agendasProvides a bridge for smooth communication between the CEO and internal departments, maintaining credibility, trust, and support with senior management and staff.Completes expense reports timely with accuracy and efficiencyComposes and prepares correspondence that is sometimes confidential to internal and external stakeholdersRecords minutes for Board meetings, Leadership meetings and other meetings as assigned.Coordinate Board education and other documentation for Board members pursuant to JCAHO standards and Medical Center policies.Coordinates and plans off-site meetings for the Board and Senior management.Successfully completes critical aspects of deliverables, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.Researches, prioritizes, and follows up on incoming issues and concerns including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.Prioritizes conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.Handles the CEO's phone calls and messages promptly and courteously. Provides routine information to callers in accordance with the company's policy and procedures.Role models the principals of a Just Culture.Perform other duties as assigned. What you will need: Experience:Five years of experience as an Executive Assistant or similar role preferred.License(s):N/ACertification(s):N/AComputer / Typing:Strong proficiency with Microsoft Office Suite including: Outlook, Powerpoint, Word, Excel and Teams. Preferred experience with on-line platforms as well as Adobe Pro. Must type minimum of 70 wpm.Must have working knowledge of the English language, including reading, writing, and speaking English.
