What You’ll Do Key Responsibilities:
Leadership and Development: Monitor and assist in the development of work assignments, provide input on performance, resolve daily program issues, and maintain efficient workflow in collaboration with the Supervisory Medical Support Assistant.
Administrative and Technical Duties: Initiate and execute a variety of administrative and technical tasks that contribute to the success of our programs.
Team Collaboration: Actively participate in team huddles and meetings to plan and manage patient care. Set priorities and deadlines, and adjust the flow and sequencing of work to meet team and patient needs.
Patient Care Support: Work with the team to reinforce the plan of care and self-help solutions for patients. Enter appropriate information into the electronic record accurately and timely.
Appointment Coordination: Monitor pre-appointment requirements (e.g., X-ray, lab work) to assure readiness for patient visits/procedures.
Problem Solving: Provide input in problem-solving on operational issues or procedures during team meetings and perform necessary follow-up actions promptly.
Continuity of Care: Independently follow up on team huddles by escalating information and collaborating with the medical team to ensure continuity of care.
Education and Communication: Educate providers about shared patients (those receiving care at multiple VAs or within the community) and bring important information to the provider's attention.
Work Schedule: Work schedules may vary based on the location requested. Tour of duty is subject to change based on the needs of the facility.

Basic Requirements:
United States Citizenship: Be a citizen of the United States (U.S.). Non-citizens may be appointed when it is not possible to recruit qualified citizens according to 38 U.S.C. § 7407(a).
Experience. No experience required.
Education. High school diploma, General Education Development equivalency certificate, or proficiency certificate from a State or territorial-level Board or Department of Education.
Licensure/Certification/Registration. None
English Language Proficiency. Candidates must be proficient in spoken and written English in accordance with 38 U.S.C. § 7403(f).
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: In addition to the basic requirements for employment listed above, the following education and experience criteria must be met when determining the grade of candidates:
GS-8:
Experience: One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.
Assignment. Supervisory MSAs at this level plan and direct programs at medical centers and/or satellite outpatient clinics. They have full responsibility for supervising at least one subordinate MSA team leader, supervisor, or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. Assignments at this level include, but are not limited to: evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems to make recommendations for improved operations; identifying educational or training needs; making final decisions on hiring selections; evaluating performance, and taking disciplinary action when necessary. The employee has administrative and professional responsibility for planning and directing the subordinate lead, supervisor, and MSA's activities. Responsible for extracting and analyzing data to provide reports to senior management in support of tracking measures.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: i. Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. iii. Ability to provide briefings, orientations, staff development, and training in a patient support setting. iv. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. v. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
The full performance level of this vacancy is GS-8.
